Job Title:                          Administrative Assistant – Modern Apprentice

Tenure:                            12 Month Fixed Term Apprentice Contract

Location:                          RCN Scotland HQ (Edinburgh)

Hours:                              35 hours per week

Salary:                             £18,081 per annum

We are looking for an enthusiastic person to join our team, providing administrative support to staff and RCN members.

Supporting the knowledge and research team, you will be the first point of contact for our team ensuring members can get the most from the services we offer, including library services, and help to run our programme of events.

Working environment:

The hours of work are Monday-Friday 09.00-17.00; you will work at the Edinburgh Office with occasional working from home. A laptop and equipment will be provided.

As well as studying for your SVQ in Business Administration SCQF Level 6, you will gain great administrative, customer service, and event experience whilst working with RCN Scotland.

You will provide a range of administrative support for the delivery of an excellent service to RCN members, who are nurses, nursing support workers and nursing students. This includes:

·         Provide customer service to RCN members as a first point of contact for the team, including supporting us to deliver virtual and in-person library services and answering routine enquiries

·         Support virtual events taking place on a variety of digital platforms and events taking place in workplaces and universities including booking arrangements, communicating with delegates, and assisting during events

·         Provide administrative support for events including preparing and circulating papers; booking rooms and equipment; ordering catering, and providing relevant support at selected events

·         Assist with ordering and maintaining publications and materials stock

·         Provide customer service to members using the Learning Hub library resources

·         Assist in answering telephone enquiries

·         Ensure e-mail, postal and telephone requests are processed in a timely and effective manner

·         Update records to support our services

For this role you must be eligible to participate in the government supported SVQ qualification in Business Administration SCQF Level 6.  You will have excellent communication skills, with the ability to communicate clearly and concisely at all levels through telephone, email, and face-to-face. Being able to use Microsoft Office applications is essential. With the ability to prioritise a busy and varied workload, coordinating a number of tasks simultaneously, you will demonstrate a commitment to delivering a high quality service.

Qualifications required:

Essential:

Educated to National 5/GCSE level or equivalent with good standards of literacy and numeracy

Experience of developing productive relationships within and outside the team

Ability to communicate clearly and concisely

Ability to adapt, plan and reprioritise to respond to urgent needs

Ability to work methodically and logically under pressure in order to offer a quality service

Ability to effectively communicate at all levels across the  organisation

Good prioritising and planning skills to ensure that tight deadlines are achieved under pressure

Ability to maintain a high level of attention to detail & accuracy whilst working within tight timescales

Ability to update records and maintain database systems accurately and efficiently

Good time management skills and an ability to work to deadlines

Is proactive in resolving issues & efficient at solving problems whilst maintaining a professional approach

Ability to use Microsoft Office Packages including Word, Excel, email, internet and diary software to an intermediate level

Demonstrates a commitment to delivering excellent customer experience

Self reliant whilst seeking advice and support when required

Is helpful, courteous and patient
